Yacht listing checklist for central agents: make your fleet broker-ready

A broker-ready yacht listing helps another professional understand which yacht is represented, what can be offered, which facts are current and who can answer a specific charter request. This is a publishing framework, not a charter agreement or legal opinion.

Key takeaways

  • A yacht name is not a stable identity. Keep builder, length, representation and the date the information was supplied.
  • Leave a rate attached to its currency, period, dates and service basis. Do not turn an incomplete sheet into an all-in price.
  • Publish only supported facts, recorded image permissions and an enquiry route the responsible person can answer.

01

Establish which yacht the record describes

Start with a stable identity. A name alone is not enough: different yachts can share a name, and one yacht may change names.

Supply the current yacht name and any relevant former name. Add the builder, model, build year and refit year where those are documented, plus length, yacht type and a representation reference your team can trace. Name the organisation responsible for maintaining the record, and date the information supplied.

Use the same identity across the brochure, rate sheet, image folder and platform record. If two records may describe the same vessel, investigate before merging them. Similar names do not prove duplicate inventory.

02

Separate accommodation facts from marketing language

Specify sleeping guests, cruising guests, cabin count and the actual sleeping configuration separately. A statement such as "sleeps twelve" does not explain whether that includes convertible berths or crew accommodation.

Record the service offered: crewed, skippered or bareboat, including any conditions that change the arrangement. Do not let an optional skipper or cook turn into an unconditional claim that a yacht is fully crewed.

Amenities should be specific and supported. If a feature is important to suitability, identify what it is and whether its use needs confirmation. "Water toys available" is less useful than an accurate inventory with any operating restrictions flagged for the broker.

For a broader sourcing framework, see how professional brokers evaluate a charter yacht.

03

Attach commercial context to every rate

A number without its context is not a dependable charter offer. Keep each rate with the fields below.

Do not derive an all-in price from an incomplete rate sheet. Keep a yacht's broker commission distinct from a platform's fees. Private Charter does not charge a subscription or a commission to central agents who register by 30 November 2026, 23:59 Europe/Madrid. That platform term does not mean a yacht has no broker commission, tax or operating expenses. Central-agent desks registered after the deadline follow the list prices on the pricing page.

The charter working-budget guide explains how those components affect a client-facing estimate.

FieldWhat the broker needs
Currency and periodThe quoted currency and whether the amount is daily, weekly or another period
Applicable datesThe season or specific dates to which the rate applies
Service basisThe charter arrangement covered by that rate
Tax treatmentWhat is included, excluded or awaiting confirmation
Additional costsKnown APA, delivery, repositioning, deposit or compulsory extras
Commercial termsBroker commission or net-rate basis, where authorised for professional distribution
Source and review dateWhere the figure came from and when it was last checked

04

Provide availability evidence, not implied open weeks

A brochure is not an availability calendar. If your source publishes dates, include the source and its update date. If it does not, say that confirmation is required.

For a live enquiry, the useful record includes the requested dates, embarkation and disembarkation context, status and responsible respondent. An option or hold also needs an expiry understood by the parties. Do not convert silence into "available".

This checklist concerns the evidence supplied with a listing. The separate availability guide covers the operational states from enquiry through confirmation.

05

Make image and brochure rights explicit

Being able to download a photo is not permission to redistribute it. Supply the credit and the permitted uses with the asset, not in an unrelated email that disappears during an update.

Confirm which images may appear on the public profile, in broker proposals and through any approved feed. Record restrictions, attribution requirements and any expiry or withdrawal instruction. Permission for one website is not automatically permission for every partner or channel.

Keep client information, private operator contacts and other confidential material outside public brochures. Supply only what the relevant audience is authorised to see. If rights are unclear, withhold the asset until they are resolved.

06

Route the enquiry to the right professional

Identify the house enquiry inbox or authorised yacht-specific destination. An account's sign-in email and its commercial enquiry inbox serve different purposes; do not assume they are interchangeable.

Assign someone to receive corrections, answer broker questions and approve material changes. When a rate or representation changes, that owner should be able to identify the affected profile and replace the old source without creating another yacht record.

07

Finish with a small publication gate

Before the profile goes live, ask the questions below. A failed check does not require inventing the missing answer. Publish only what is approved and sufficiently supported, or hold the profile until the essential gap is closed.

  • Can another professional identify the correct yacht without relying on its name alone?
  • Are capacity and service type supported by the supplied material?
  • Does every rate retain its currency, period and conditions?
  • Are availability statements backed by a current source or labelled for confirmation?
  • Are image credits and distribution permissions recorded?
  • Does the enquiry reach the authorised recipient?
  • Is there a clear correction and withdrawal route?

08

How to hand your material to Private Charter

Private Charter's agent workflow accepts an agent-created listing, a supplied PDF or an operator URL for that yacht. Sending one yacht page is not permission to harvest the rest of a website. Missing specifications, rates and destinations are not invented.

Start with the material you already control, then use the checklist to make gaps explicit. List your yacht or fleet when you are ready to prepare its professional profile. Published rates and availability still require appropriate confirmation for the actual charter.

Frequently asked questions

Can a yacht brochure be enough to start a listing?

Yes, a supplied brochure can be a starting source. It is not automatically sufficient evidence for current availability, complete commercial terms or every intended image-distribution channel.

Should I create a new listing when a yacht's rate changes?

Normally, preserve the yacht's identity and update the relevant commercial record. Investigate any apparent duplicate before creating or merging records.

Does a public listing make every professional contact public?

No. Public visibility and permission to distribute professional contact details are separate decisions. Use the approved enquiry route and keep restricted information private.
